About the Role
Administrative Support:
Provide comprehensive administrative assistance to various teams, including Finance, Operations, Sales, and Customer Support.
Manage calendars, schedule meetings, and coordinate team activities.
Organize and maintain files, records, and databases to ensure accurate documentation and easy access to critical information.
Handle incoming and outgoing communications, including emails, calls, and messages.
Financial Support:
Maintain accurate financial records, including ledgers, invoices, receipts, and expense reports.
Support accounts payable by processing invoices and ensuring timely payments to vendors.
Monitor accounts receivable and follow up on outstanding invoices.
Prepare and send invoices to clients and assist with resolving billing inquiries.
Payroll processing, maintaining employee records, and addressing payroll-related questions.
Operational Support:
Assist the Customer Support Supervisor and Courier Relations Manager with scheduling, communication, and document preparation.
Help track courier onboarding, performance, and compliance.
Support vendor management by ensuring partner documentation and agreements are current and accurately filed.
Customer Support:
Address customer enquiries, complaints, and feedback professionally and promptly.
Collaborate with the Customer Service Team to ensure excellent customer experience and resolution of issues.
Reporting and Compliance:
Prepare routine reports for management review (financial, operational, or customer-related).
Ensure that all processes adhere to company policies and relevant regulations.
Assist with preparation for audits and ensure all documentation is accurate and organized.
Requirements
Qualifications:
Proven experience as an Administrative Assistant or similar role.
Familiarity with basic accounting processes and financial record-keeping.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting software (QuickBooks or similar).
Strong organizational, multitasking, and communication skills.
Ability to work independently and collaboratively with different teams.
